Overview:
The Special Assistant provides logistic and programmatic support to each of the four teams (Admin, Climate Planning, Energy, and Historic Preservation) in the Environment Department. Sample projects include mapping and data visualization in QGIS; analyzing the intersection between historic preservation and building energy efficiency; assisting with budget preparation; analyzing state policy and its impact on Boston’s policy priorities; and maintaining the parking freeze invoicing and permit issuance.

The Special Assistant provides logistic and programmatic support to each of the four teams (Admin, Climate Planning, Energy, and Historic Preservation) in the Environment Department. Sample projects include mapping and data visualization in QGIS; analyzing the intersection between historic preservation and building energy efficiency; assisting with budget preparation; analyzing state policy and its impact on Boston’s policy priorities; and maintaining the parking freeze invoicing and permit issuance.

In addition, the Special Assistant serves as the Commissioner’s scheduler and undertakes certain recurring administrative tasks, as well as completing special assignments from the Commissioner. Administratively, the Special Assistant will schedule meetings with internal and external stakeholders; compose the weekly cabinet report; draft policy memos; and coordinate off-site department meetings.Responsibilities:
- Provides written, analytic, and logistical support to the various department teams to facilitate their short and long term project success.
- Provide GIS visual mapping ability for the department and its programs.
- Draft internal memos on department policy and external facing content for department stakeholders.
- Analyze and summarize existing state and federal regulations that impact department projects.
- Write summaries and comparisons of Massachusetts state house bills on legislation that could impact department policies, projects, or programs.
- Coordinates appointments and activities of the Commissioner.
- Composes letters, memos, and other written communications for the department and the Commissioner.
- Write the weekly cabinet report.
- Maintain the Air Pollution Control Commission invoicing process, including monitoring when invoices are ready, documenting and sending, answering questions and adjusting invoicing information, and issuing permits.
- Provide programmatic coverage during staffing transitions as needed.
- 1-2 years of government or private sector administrative work, preferably with an environmental or historic preservation field.
- A bachelor’s degree can be substituted for all years of experience. Degree in history, environmental science/studies, political science, or related field preferred.
- Experience with Google Office Suite, Microsoft Office Suite, and Windows required. Experience with QGIS prefered.
- Ability to exercise good judgement and focus on detail as required by the job.
